Exhibition stands Poznan - choose quality with Mel-Expo
For years, Poznan has been the place where the heart of the Polish trade fair market beats. It is at Glogowska 10 that the events take place which set the direction for entire industries – from construction and automotive to education and gastronomy. This is home to Grupa MTP, the organiser of events that attract thousands of exhibitors and tens of thousands of visitors. In 2023, nearly 70 trade fairs were held in Poznan with around 7,000 companies taking part – a significant increase on the previous year, when 50 events were organised and the number of exhibitors reached 5,200.
If you are thinking about seriously taking your offer to the next level, a stand at MTP may be exactly the impulse you need. But simply showing up is not enough – what counts is how you present yourself. A well-designed space makes a difference from the very first moment; it stops people, sparks curiosity and builds credibility. Especially in Poznan, where competition is strong and standing out is a matter of deliberate strategy, not chance.
How to get started? The booking process at MTP
Before your stand starts taking shape in the hall, you first need to go through the formal process – quick, but requiring attention and punctuality. Most of it can be done online, which makes things considerably easier.
- Check the calendar: Choose the event that best fits your industry – BUDMA, Meble Polska, Motor Show or another event from MTP’s extensive line-up.
- Exhibitor Zone: This is your command centre. Through this portal you register your participation, enter your catalogue details, register co-exhibitors and order additional equipment.
- Registering your participation: You fill in the “U” form and create an online account, so the whole process takes place without leaving your office.
- Payment: Once your application is accepted, you receive a pro forma invoice with a 7-day payment term. Failure to pay results in your booking being cancelled, so keep an eye on the date!
Choosing the right exhibition space
The location and type of your stand are more than technicalities – they are the foundation of your entire trade fair strategy. Think about where you want to stand and how you want to present yourself before you book. Prices per m² depend on the registration date and the type of event. For larger stands (over 20 m²), the cost is PLN 400 to 600/m², which works out better than for smaller spaces (up to PLN 800–1,200/m²).
- Row stand: Open on one side, an economical option, but it requires a creative idea to stand out from the crowd.
- Corner stand: Open on two sides – more space, more visibility, more interaction.
- Peninsula: Three sides accessible to visitors – very good display possibilities.
- Island: Open on all sides – a top-shelf solution, ideal for premium brands that want to dominate the hall.
Building the stand – custom design or system stand?
Once you have booked your space, it is time to plan how to use it. You have two options: a ready-made system stand or a “tailor-made” design. The first solution saves time and money – good if your presence is meant to be rather formal. But if you are after the “wow” effect, a custom exhibition stand design is the right way to go.
Technical support and logistics
Even the best-designed stand will not do its job if the technical details are not taken care of. You can order all the necessary services in advance via the Exhibitor Zone.
- Electricity and water: You cannot do without them – a water connection costs approximately PLN 880, plus consumption during the fair.
- Internet: A stable Ethernet connection (up to 100 Mb/s) is available – essential if you are planning streaming or an interactive presentation.
- Waste disposal: A mandatory fee calculated per square metre – worth remembering and not leaving until the last minute.
If something goes wrong, your first point of contact is the exhibitor reception desk. That is where you sort out vehicle access, last-minute furniture orders or get technical assistance.
Ready for the fair?
Taking part in a trade fair in Poznan is not just a cost, but above all an investment – in recognition, in new relationships, in concrete business. In 2024 alone, the number of trade fair events in Poland grew by 6.6%, reaching 129 events. Poznan fairs such as BUDMA attract more than 90,000 visitors every year and bring together the key players of their sectors. It pays to prepare well: from booking in the Exhibitor Zone, through choosing the space and the contractor, to taking care of the technical back-end. Below is a short summary to help you put it all together:
| Stage | Scope | What to look out for |
|---|---|---|
| Registration | Choosing the event, application, payment | Punctuality and correct details |
| Space | Stand type and location | Fit with your trade fair goal |
| Stand construction | System or custom | Budget vs. recognition |
| Contractor | Local or nationwide companies | Experience and familiarity with MTP |
| Utilities and logistics | Electricity, internet, waste | Order in advance |
And that is it – you are one step closer to building a presence that people will truly remember. Check the MTP calendar, choose your event and start planning your success.
