Exhibition stands Warsaw - choose quality with Mel-Expo
Warsaw has long been one of the most important points on Poland’s business map – and not only for large corporations, but also for local sellers and brands that are just beginning their expansion. If you type exhibition stands Warsaw into a search engine, you land in two completely different worlds. On one side you have the huge exhibition halls – EXPO XXI or Ptak Warsaw Expo – hosting more than 120 trade events a year, where products are presented to thousands of visitors. On the other – bustling markets and retail spots scattered across the city, where the traffic comes from local residents, neighbours and passers-by. In this guide I will walk you step by step through both options – from registering a stand at a B2B trade fair to the formalities of street trading.
How to organise a stand at a trade fair in Warsaw?
If you are planning B2B activities, a presence at selected trade fairs in Warsaw is a strategic move. Especially since we are talking about a market where – as in the case of Ptak Warsaw Expo – trade fairs attract more than a million visitors a year and more than 20,000 companies from all over the world exhibit across 153,000 m².
Space rental procedure and formalities
First, you choose an event – and believe me, there is plenty to choose from. A typical process for an exhibitor looks like this:
- Choosing a specific trade fair and booking the space – the so-called “raw floor space” – directly with the organiser,
- Confirming the square footage and signing the contract – company registration documents (CEIDG or KRS, the Polish business registers) and third-party liability insurance are required,
- Paying the deposit and the advance – often up front, even before the stand design is ready.
It is worth starting the process well in advance – the best locations sell out in no time, especially at major events such as the Advertising and Printing Fair (Targi Reklamy i Druku) or the HoReCa Fair.
Stand design and construction – how much does it cost?
Stand construction is an expense you need to be prepared for, but it is also an investment that pays off. A professionally designed stand can triple your return on investment compared with a modular version, generating an average of 120 valuable leads a day.
- system stand (9–12 m²): approx. PLN 4,000–8,000 net,
- custom design (over 50 m²): from PLN 30,000 to 80,000 net,
- premium projects (full personalisation and multimedia): the quotes go even higher, but the effect makes all the difference.
